Booking Terms & Conditions

Thank you for booking your holiday with us at Westgate Farm, we can’t wait to welcome you soon.

Please note that once you have made a booking, you also agree to our terms. For full Terms & Conditions, please read below.

Booking confirmation

You must be 18 years of age or over to book accommodation at Westgate Farm.

The maximum number of guests in the accommodation is 2 in Owls Nest and 6 in Foxley Lodge.

All bookings via the online reservation system must be treated as provisional until you receive confirmation from us via email. To confirm your booking a non-refundable deposit of 30% (or full payment) of the cost of your stay is required. Bookings must be paid in full 14 days before your arrival date. If your booking is less than 14 days from the date of your stay the full cost of your stay is required.

When you submit a booking and payment via our online reservation system you will be requested to read and accept these terms and conditions of booking. You will receive an automatically generated booking confirmation and payment summary by email to the email address you provided at the time of booking. This booking confirmation email forms a contract between you and Westgate Farm.

If the balance is not paid by the due date Westgate Farm reserves the right to re-let your accommodation and retain the deposit.

Arrival and Departure

Your accommodation may not be ready until 4pm, but if we can get the changeover done sooner we will message you to let you know.

On arrival at the farm we will meet you and show you to your tent. As this is still a working farm please park your car in the designated car park in the yard and use the luggage carriers to help with your bags. There will be farm traffic coming and going, so please be aware and keep dogs on leads in the yard and children close by.

Check out time is 10am on the day of your departure. On departure your safari tents and the site are to be left clean and tidy. All rubbish/recycling is to be tidied responsibly. Please check you haven't left anything. Thank you!

Cancellations

Any cancellation must be in writing via email and will only be effective once we send written confirmation of the cancellation to you. Cancellations made within 7 working days of your stay date, will not be refundable under any circumstances, as the stay cannot be remarketed.

When we confirm your cancellation in writing we will provide you with details of what (if anything) is owing to you and any deductions we have made.

We strongly recommend that you take out holiday insurance at the time of making the booking with cancellation cover. Whilst we allow you to cancel your stay, we cannot guarantee that we will be able to refund any part of the payments you have already made.

If you are unable to travel to Westgate Farm for any reason, or do not arrive on the day of check-in without notifying us, this will be treated as a cancellation.

Breakages and Damage

Whilst we expect a level of wear and tear, (the tents are new this year - 2023) any significant damage or breakage to happen during your stay you will be held responsible and liable to a charge. If the tent is left in a state that is unacceptable we do reserve the right to charge for additional cleaning.

Service Utilities

Should there be a failure in a utility service (e.g. water, heating, electricity, sewerage) please notify Michael or Sophie immediately and we will aim to restore the service as quickly as possible. However, should any utility service failure extend beyond a 12 hour period from notification, for your health and safety reasons you will be asked to leave the accommodation and your accommodation fee for the duration lost will be fully refunded or you will be offered to re-book for another time, subject to availability.

External Lighting

Please note there is no pathway lighting to the tents from the car parking area, but there are security lights in the yard that will come on when you pass them. We will have solar lights on the safari tent terraces and the gateways. We will also provide you with torches.

Liability

Westgate Farm accept no responsibility for injury incurred anywhere on the site, farm or in the safari tent.

Negligence

Guests will be held responsible for any fire, damage or alteration to the tents or other parts of the site caused by negligence. Tea lights and candles are strictly forbidden inside or outside the huts. Please do not leave anything on or rested against the wood burners or bbq outside.

Stolen Property

You are responsible for your property including your car whilst you are staying at Westgate Farm and we do not accept any responsible for your personal effects. Due to the nature of the structure you are staying in (there are no lockable doors) please ensure you do not leave any items of value unattended.

Smoking

There is strictly no smoking policy inside or on the deck of the safari tents. Smoking outside the tents is permitted but guests are responsible for the safe and tidy disposal of their cigarette butts in the sand buckets provided. If we experience a very dry spell then smoking will be prohibited across the whole site.

Children

Children and babes in arms are welcome. Please note there is limited space in the tents for cots. - Please see floor plan.

Dogs

As dog lovers and owners ourselves, we are more than happy to welcome 2 dogs in Foxley Lodge and 1 dog in Owls Nest. As Westgate Farm is still a working farm all dogs must be kept under control and on leads at all times around farm yard. The meadow which the safari tents are situated is not dog secure from the road. There is a charge of £25 supplement per dog and we will provide beds and bowls for your dog during your stay. Please clean up after your dog and place the bags in the bins provided.

Music

Whilst we are in the countryside, we do have a couple of neighbours who may not have the same music taste as you! So we ask that guests keep all noise to a minimum after 10.00pm and before 8am.

Coronavirus

Should the worse happen and the Government enforce another lockdown we will happily give you a full refund.

We highly recommend that you have appropriate holiday insurance cover.

Customer complaints

If at anytime throughout your stay you are not happy or have a concern, please do speak to Sophie or Michael where we will do our best to sort it out. If you are unable to do so or wish to do so once you leave please email us at enquiries@westgate-farm.co.uk . Complaints received after 14 days from the end of your stay will be harder to resolve and investigate.
